Title: Front Desk Coordinator/Office Manager

Position Overview:

Join our professional and supportive team at a high-end dental laboratory in downtown Boston. This front desk position is essential to ensuring smooth daily operations by managing administrative tasks, client communications, and team coordination. Ideal candidates will bring a strong background in dental or administrative work, excellent organizational skills, and a friendly, team-oriented demeanor.

Key Responsibilities:

Communication and Scheduling:

  • Professionally respond to emails and answer phone calls.
  • Schedule custom shade appointments and coordinate with dental offices.
  • Manage calendars, deliveries, and shipping schedules efficiently.

Administrative Duties:

  • Process invoicing and prepare case documents.
  • Ensure timely packing and shipping of cases.
  • Order and manage supplies with accurate record-keeping.

Customer and Team Support:

  • Act as the main point of contact for dentists and clients, addressing case details and questions.
  • Maintain effective communication with the team to ensure smooth workflows.

General Office Tasks:

  • Perform clerical tasks such as filing, scanning, copying, and correspondence.
  • Maintain organization and workflow within the office.

Qualifications:

Experience:

  • Minimum 1+ year in the dental field (dental lab or dental office preferred).
  • 2+ years of managerial or leadership experience.
  • Familiarity with dental terminology (e.g., crowns, bridges, implants).

Skills:

  • Excellent verbal and written communication in English (Japanese a plus).
  • Proficient in basic computer programs (email, Excel, etc.).
  • Strong multitasking, problem-solving, and organizational abilities.

Work Conditions:

  • Schedule: Monday–Friday, 8:00 AM–5:00 PM
  • Hours: 40–43 per week; occasional overtime compensated.
  • Location: Accessible by public transit (3-minute walk from Green Line subway stop).

Compensation and Benefits:

  • Pay: $25.00–$30.00/hour, based on experience.
  • Benefits:

  • Paid time off: One week in the first year, two weeks thereafter.
